How does small hotels uses
A basic core property management system that includes front desk and back office modules is useful for small hotel properties. The main use of small hotel software is in the area of front desk operations particularly with reservations and guest management. Front office features that would be necessary small hotel software are reservation scheduling and booking, guest history information, check-in/check-out, room maintenance (type, status, occupancy, inspection), guest folios, rate management, housekeeping, guest charges, night audit, and city ledger. Small hotel software may or may not have an Internet Booking Engine (IBE)/GDS module. This would depend on whether the hotel has web based real time reservation capability.

Small hotel software also may or may not have back office function capabilities. Back office software features would have payroll, accounts payable, asset accounting, general inventory, and personnel/human resources functions. Small hotel software would also be used for sales analysis reporting and management information and reporting including active/occupied units, total reservations/departures/arrivals for the day, percentage occupancy.
Another optional use of small hotel software is with a point of sale (POS) module. This would depend on whether the property had restaurant, lounge/bar or room services amenities. If there were food and beverage services, they would be interfaced with the main hotel accounting/billing functions via a POS module which allows all guest charges to be placed in the guest folio to be presented as one bill with itemized charges.

There are many small hotel software packages that are designed specifically for small hotel operations (single unit, less than 100 rooms). Select Module Systems (SMS) offer a core property management system, which includes reservation/guest profile/rate management, reporting, back office, housekeeping, customer communication and payroll functions. A Basic Reservation System (BRS) offers only front office (reservation and guest management) functions.
